What happens now that I have submitted an application?

We will review your requested dates and determine eligibility and availability. You should receive an email reply back within a few days to let you know that we have received your information and your application will begin to be processed.  We will review your requested dates and determine availability.

Approximately one month prior to your requested date (more or less, depending on where that date falls in the month), your application will be pulled. You will receive an email or call to verify that your family will still be available for the dates requested. Your application is then sent to our participating rental management companies to see if they have any donated units that match your dates and your family's needs. If there is a match, you will receive an Operation R & R Cancellation Policy Email describing our cancellation policy, and notifying you about the rental company who has booked your reservation. The rental company will then ask you to fill out a rental agreement and provide a credit card in the event any damage occurs to the property.

It is imperative that you respond to this reservation immediately and give them all required information. Only then will your reservation be considered a final confirmation.
If they do not hear from you in a timely manner, your reservation will be given to another family.
Please note your trip is not confirmed by Operation R & R until you receive our Cancellation Policy Email.  We make every effort to bring families on their desired dates but your reservation is tentative until it is matched with a rental company.

What if I am not certain that I will get the time off?

Please let the management company know this information as soon as you hear from them. They may be able to give you a few days to confirm vacation time with your superiors.

How will I know where to go once I am on Hilton Head Island?

Once you have confirmed your reservation and given all pertinent information to the management company, the next person who will contact you will be a volunteer "Greeter". This person will answer any questions you may have. They will arrange to meet you as you come on to the island and will take you to your family’s unit. They will show you the Operation R&R Directory and explain how to take advantage our Participating Partner' offers. 

If for some unforeseen reason your Greeter does not meet you the day of arrival, please use the following emergency number:

If I must cancel the reservation, whom do I contact?


You must contact both the Management Company and Operation R&R ASAP if you need to cancel the reservation. If the cancellation is more than 10 days from the reservation, nothing more needs to be done. If the cancellation occurs within 10 days of the reservation, a $50 fee will be assessed and charged to the credit card number you have provided us. Please understand that a late cancellation results in the unit not being occupied. The owner will have given up the revenue that could have been received for that unit had they not donated it, and that many volunteer hours will have been lost.

Along with those issues, another deserving military family will not be able to participate in the program.

Are there any charges associated with this vacation program?


No, except for the cancellation fee previously mentioned, this is a free program, made possible by generous owners of houses, condos and timeshares along with Hilton Head rental management companies free of charge. The program is run by volunteers and the discounts are given freely by restaurants and businesses. Everyone is working to be able to give those who have served our country in deployments some time to reconnect and relax with their families.

Who can participate in the program?

Any military personnel who have deployed within 2 years of the request, and their immediate family. Must be stationed at Fort Stewart and Hunter Army Field, Fort Benning and the Beaufort Marine Corps Air Base. Must be married, with partner participating in the vacation.  We are also accepting our "Families of the Fallen"  Gold Star Program by accepting Gold Star spouses and parents at this time.  Please apply for more information.
